Privacy notice
How The British Invention Show & Awards (bis) looks after the personal details you give us when you enter the awards or contact us. We keep it short and plain.
Who we are
Innovated Limited, trading as The British Invention Show & Awards (bis), is the data controller. Registered in England & Wales, company no. 07647015. Registered office: 11 Claymore Drive, Ickleford, Hitchin, Hertfordshire SG5 3UB. For anything about your data, email show@thebis.org.
What we collect
- Contact details: your name, email, phone numbers, postal address and country, and for agents, the client’s name and purchase order.
- Entry details: the inventors’ names, the title, description, categories and anything you send for the judges, such as documents, photos and videos.
- Payment: card payments are taken by Stripe. We see the amount, the date and the last four digits of the card, never the full card number.
- Youth entries (under 18 on the closing date): the young inventor’s date of birth, a proof of age document (a passport, national ID card or birth certificate), and, where given, a parent or guardian’s name, email and approval.
- Messages you send us by email.
Why we use it, and our legal basis
- To run the awards: to register and judge your entry, keep you informed and advise you of your position. Contract.
- To issue invoices, credit notes and receipts, and keep accounts. Legal obligation.
- To publish or share your entry and its media online or with the press, only if you ticked the publicity box. Consent, which you can withdraw at any time.
- To check that a Youth entry is eligible (under 18 on the closing date). Contract. Proof of age is used only for this, is seen only by the bis admin team, is never published or shared with the judges, and is deleted after the date participants are advised of their position (30 November 2026), or sooner on request.
- If a young inventor will be under 16 on the closing date and the entry is to be made public, we ask for a parent or guardian’s approval, name and email first, and use them only to confirm that approval. Without it, the entry is simply not published.
- To keep the site and our records secure and to prevent misuse. Legitimate interests.
We never sell your data, and we do not use it for advertising.
Who we share it with
Only with the services that help us run the awards, under contract and on our instructions: Wix (website hosting and entry storage), Stripe (card payments) and Google Workspace (email). The judges assigned to your entry see what they need to judge it. Some of these services may handle data outside the UK, with the safeguards UK law requires.
How long we keep it
Invoices and payment records are kept for six years, as UK tax law requires. Other entry details are kept while the awards and their results are current and then for our records of past entrants and winners, unless you ask us to delete them. Publicity material for winners who gave media clearance may be kept in our archive and gallery.
Your rights
You can ask to see, correct or delete your data, to restrict or object to how we use it, to take a copy, and to withdraw your publicity consent. Email show@thebis.org. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Cookies and local storage
We use no advertising or tracking cookies. Your browser remembers a few small settings on your own device: whether you turned the site’s sound off, which musical moments have already played this visit, and a draft of an entry form you have started, so nothing is lost if you close it. You can clear these at any time in your browser settings. Stripe sets its own cookies on its payment page to keep payments secure.
Changes
We will update this notice if anything changes, and show the date below.
